The Uganda Business and Technical Examinations Board (UBTEB) was established in 2008 to streamline, regulate, and conduct credible national examinations and award Certificates and Diplomas in Business, Technical, and Vocational Education.

Challenges to over come

Among the pivotal areas demanding attention were the manual processes for Student Registration and Verification, Examination Fee Management, Examination Timetable Administration, Results Processing, as well as Transcript and Certificate Processing for successful candidates, all accompanied by the development of a User-centric Self-service platform.

Manual Students' registration & verification process

UBTEB was challenged with long, paper-based processes for collecting and verifying student data.

The Registrations and Course Enrollment module handles all processes of registering for the first time students , continuing students, and retaking students to get permission to sit for examinations.

The KOLA solution allows for a fully registered student to appear on the examination Center registration list for a particular program, module, class or year and semester with his sub modules or subjects to sit for examinations.


Management of Examination Fees

There was a need to streamline the payment process, track daily transactions, and verify student payments submitted for various services.

The payment management module manages the examination payment process with printable invoices for services like Examination registration fees, Transcript processing fees, Certificate processing fees, Results and Transcripts, Certificate Verification fees, and Certification fees.

Additionally, this module ensures that each payment is securely processed, offering users a convenient and reliable way to settle their dues.

By automating the payment workflow and providing printable invoices for the mentioned services, the organization can efficiently manage and track the financial aspect of these crucial processes. This not only simplifies payments for the users but also enhances the overall efficiency of your administrative tasks.

Examination Timetable Management

UBTEB needed to schedule Exams for candidates and know the number of candidates scheduled to sit their exams at a given  examination center.

The Odoo customized timetable and scheduling module allows UBTEB to monitor Examination centers and the candidates registered to sit exams at the various centers.

The module also facilitates the scheduling of Exams to avoid collision or mismanagement.

User Self-service platform

There was a need to manage the user reporting and feedback process to allow students to follow up on issues with their results, complaints, and application support issues.

The self-service portal is a centralized platform for students to be able to login with their credentials, submit requests and complaints for support, as well as view their published Examination results.

Conclusion

With Odoo, UBTEB has successfully streamlined its operations, from Students' registration and Payments management to accounting and Transcript management.
